Senior Litigation Secretary

Hybrid Schedule (3 Remote / 2 In-Office)
A premier international Labor & Employment law firm is seeking a skilled and experienced Litigation Secretary to join our La Jolla office. This is a critical support role for our litigation team, offering the opportunity to work on sophisticated state and federal civil litigation matters while contributing directly to exceptional client service.
Key Responsibilities
- Prepare, format, finalize, and proofread litigation documents including briefs, pleadings, discovery, and correspondence
- Create litigation shells and ensure compliance with California and federal court rules
- File documents electronically with state and federal courts (ECF/PACER proficiency required)
- Docket and calendar litigation deadlines accurately
- Maintain and update client and matter files using document management systems
- Manage attorney calendars using Outlook and Aderant Milana
- Schedule depositions, court reporters, videographers, hearings, and conference calls
- Coordinate hearing dates with court clerks
- Arrange travel accommodations for assigned attorneys
- Enter, revise, and review timekeeper timesheets, including proper litigation code usage
- Prepare attorney reimbursements and mileage submissions
- Review vendor invoices for accuracy and submit timely payment requests
- Provide professional, friendly phone and administrative support to assigned attorneys
Required Qualifications
- Minimum high school diploma (college degree preferred)
- 5+ years of litigation legal secretary experience (senior-level preferred; strong junior candidates considered)
- Substantial experience with state and federal civil litigation, including discovery and the full litigation lifecycle
- Demonstrated knowledge of:
- California Rules of Court
- Table of Contents and Table of Authorities generation
- Litigation docketing and deadline management
- Proficiency with:
- LexisNexis
- PACER / ECF
- Aderant Milana
- Concur
- MS Office (Word, Excel, PowerPoint, Outlook)
- Document Management Systems (e.g., iManage, NetDocuments)
- Strong attention to detail, organization, and follow-through
- High level of teachability, flexibility, and willingness to learn
Work Schedule & Location
- Hybrid Schedule: 3 remote days / 2 in-office days per week
- First month fully on-site for training before transitioning to hybrid
- Candidates may select remote days, but consistency is required
- Hours: Monday-Friday, 8:00 AM - 5:00 PM
- Location: La Jolla / UTC area, San Diego
Compensation & Benefits
- Salary Range: $85,000 - $114,321 annually
(Equivalent hourly range: $43.59 - $58.63) - Compensation is based on experience, skills, internal equity, and other lawful factors
